Terms of service
What a business is agreeing to when it uses Bexus Booking, and what Bexus Systems undertakes in return.

1. Who you are agreeing with
Bexus Booking is supplied by Carl Guinney, trading as Bexus Systems, a UK sole trader established in England and Wales. In these terms “we” and “us” mean Bexus Systems; “you” means the business that uses Bexus Booking to take bookings.
These terms cover the service. What each of us does with personal data is covered separately by the privacy notice and the data processing agreement. If you are on a founding place, the founding-beta terms also apply and take precedence where they differ.
2. What the service is
Bexus Booking gives your business a public booking page, an availability calendar, a diary that holds online, telephone and walk-in appointments together, records of your services, your team and your customers, and settings that control your booking rules. The features page describes what is built; anything not described there is not part of the service.
We say plainly what is missing rather than leaving you to discover it. In particular, at the date of these terms the service takes no payments, sends no appointment reminders, and has no messaging by SMS or WhatsApp.
3. Your account and your business
- Accounts are created by invitation during the founding beta. You are responsible for keeping your password to yourself and for anybody you give access to your business.
- You decide what your business offers, what it costs, who works when, and when your booking page is open. We do not change any of that without asking you.
- You can take your booking page offline at any moment. Doing so stops new bookings and cancels nothing already in your diary.
4. Your customers
Your booking page is presented under your business’s own name, and the relationship with the customer is yours. You are responsible for honouring appointments, for what you tell customers about cancellations and deposits, and for anything you record about them in your own notes.
We send transactional messages on your behalf — a booking confirmation to the customer and a notification to you — and nothing else. We do not market to your customers, we do not sell or share their details, and we do not contact them about anything other than the appointment they made.
Bringing customers you already have. If you import a list of your existing customers, you are telling us you are entitled to hold those details and to put them into the software you use to run your business. We store and handle them on your instructions; the responsibility for them stays yours. We ask you to confirm this before an import runs, and we record which wording you confirmed and when.
Importing somebody does not give you — or us — permission to send them marketing. It lets you do the work they already expect. There are separate rules about marketing to people whose details you hold, and they depend on your own history with each customer rather than on the fact that you have their address.
What the import is for. The customer import is intended for ordinary customer, property and service information needed to manage the work — names, addresses, telephone numbers, what is done, how often and for how much. It is not intended for special-category personal data, such as information about health, ethnicity, religion, political opinions or sexual orientation. Please do not include that information in an import or in an access note.
Access notes should contain only practical information needed to perform the service — a gate, a dog, where the key safe is. “Back gate is bolted” is an access note. Something that describes the person rather than the job is not, and belongs somewhere else.
5. What we undertake
- To keep each business’s data separated from every other business’s, enforced in the database itself rather than only in application code.
- To take reasonable care to keep the service available, and to tell you when it is not.
- To be honest about what the software does. If something described here stops working, we say so.
We do not promise uninterrupted availability. The service is supplied without a service level agreement during the founding beta, and you should keep whatever fallback you use today for taking a booking when a system is down.
6. What we do not do
- We take no payment from your customers and hold no money on your behalf.
- We give no tax, legal or employment advice.
- We do not guarantee any level of bookings, revenue or customer behaviour, and nothing on our public pages should be read as such a guarantee.
7. Acceptable use
You agree not to use Bexus Booking to:
- break the law, or help anybody else to;
- upload or record anything about a person that you have no proper reason to hold, or that you would not be comfortable them reading;
- attempt to reach another business’s data, probe the service for weaknesses without our written agreement, or interfere with its operation.
If you find a security problem, please tell us at once through support rather than demonstrating it against real data. We will not pursue anybody who reports a genuine finding in good faith and gives us a reasonable chance to fix it.
8. Charges, and how paying works
The free period. A window-cleaning business joining the pilot gets its first three months free. The dates are recorded when your business is set up and you can see them at any time on your own Plan and billing screen.
What it costs afterwards. £25 a month for a window-cleaning business, whether you clean on your own or run a round with cleaners on it. Barber pricing is still illustrative and is not an offer — see the pricing page.
Nothing happens automatically. We hold no payment card and the product has no payment processing in it at all, so nothing can be charged to you. Paid service begins only when you have agreed to it and we have recorded a payment we have actually received. If you are on a founding place, the founding-beta terms say the same thing and take precedence.
Invoicing is by hand. We raise invoices in our own accounting system and send them to you; Bexus Booking records that an invoice exists and whether it has been paid, and that record is not itself an invoice or a tax document. The invoice we send you is the document to keep.
If a period ends without payment. There is a fortnight in which everything carries on working exactly as before, so that an invoice, a holiday or a conversation does not interrupt your work. Your Plan and billing screen shows the date.
After that fortnight the account is suspended. Your booking page stops taking new bookings and enquiries and shows your customers only that it is temporarily unavailable — never anything about your account. You can still sign in, still see everything, and still export all of it. Nothing is deleted, and we will reopen it once things are sorted out.
Refunds, where any are due, are worked out and paid by hand under these terms. There is no automatic payment here to reverse.
9. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.
Subject to that, and because the service is supplied without charge during the founding beta, our liability to you is limited to putting right what we can put right. We are not liable for lost profits, lost bookings, lost goodwill, or losses that were not reasonably foreseeable.
10. Ending it
- You may stop using Bexus Booking whenever you like. There is no minimum term and no notice period. You can ask us to close the account from your own Plan and billing screen, and change your mind until we have processed it.
- Your records are yours and you do not have to ask for them. Customers and addresses, your round, and your bookings each download as a spreadsheet from that same screen. Those downloads keep working when an account is suspended or closed — that is deliberate, because the moment you most need your customer list is the moment something has gone wrong.
- Closing an account stops new bookings. It does not delete your customers. We will not delete anything without asking you first, and deletion is a separate, deliberate process rather than something that happens on a date.
- We may end your access if these terms are seriously or repeatedly broken, or if we stop offering the service. Except in the case of misuse we will give you reasonable notice, and long enough to get your diary out.
11. Changes
We may change these terms. If a change materially affects you we will tell you before it takes effect rather than relying on you re-reading this page.
12. Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
